These terms and conditions (Terms) apply to all bookings, appointments, consultations and treatments (Services) made with Medwyn Travel Clinic. You should understand that by requesting any of our Services, you agree to be bound by these Terms & Conditions. Please read these Terms and Conditions carefully.  Please also note that the use of the Site is subject to the terms contained in the Website Terms of Use, which apply whether or not you book any Services through the website (Site).

The Site is operated by Dr Monella and Partners trading as Medwyn Travel Clinic. Our registered office is Medwyn Centre, Reigate Road, Dorking, Surrey RH4 1SD. We operate the Site and provide a UK and travel vaccination service.

In these Terms, ‘we’, ‘us’ and ‘our’ are Medwyn Travel Clinic. ‘You’ and ‘your’ is any person who makes a booking with Medwyn Travel Clinic using our website. The contract for the applicable services is made between you and us.

These Terms contain important information and set out the Terms we do not accept responsibility for.

What we do

We provide the option to book UK and travel vaccination appointments through our Site’s online platform, or via telephone for a consultation with a registered nurse or doctor in the Medwyn Centre. You will then receive the vaccination(s) or treatment chosen in the Medwyn Centre subject to the outcome of the consultation and the assessment of the nurse or doctor on the suitability of the treatment.

All our nurses and doctors are governed by codes of professional ethics and conduct. You can view these professional conduct codes and good practice for our nurses by visiting the Royal College of Nursing at and the General Medical Council for doctors at

Medwyn Travel Clinic

You can book an appointment with a nurse or doctor either online through the Site or by phone. We will collect your name, address, date of birth and other contact information such as email and phone number. We will either email you or SMS you a confirmation that you have successfully booked an appointment with Medwyn Travel Clinic, confirming the date, place and time of your appointment.

During the consultation process with a nurse or doctor you will be asked to complete a health questionnaire which has been prepared by relevant medical staff and is compliant with medical best practice. It is important that you disclose all relevant facts as this could affect the treatment and any advice you are, or are not, given by our nurses and/or doctor. You will also be requested to confirm your understanding of the risks and benefits of the treatments available and confirm you consent and agree to proceed with treatment and the applicable terms and conditions. You will be required to sign a consent form to document this.

By booking an appointment by phone or through the Site, you confirm that:

  • You are legally capable of entering into binding contracts; and
  • You are at least 16 years old.  For children under 16 years, consultations need to take place with the parent or legal guardian.

Please do not book an appointment on behalf of anyone other than yourself, unless you have permission to do so from the individual. If you are booking an appointment for a child, your confirmation email will contain details of the documentation which you will need to bring to the appointment.

You accept that the advice given on the Site does not replace your regular healthcare provider. It is your responsibility to tell your regular healthcare provider about treatment supplied following a consultation. Nothing contained on the Site or in these Terms & Conditions should be construed as medical, commercial, legal or other professional advice.

Your personal information

All personal information you provide will be kept secure and processed in accordance with our Privacy Notice. We are committed to safeguarding your privacy rights and ensuring that your personal data is protected. All personal data is processed in accordance with applicable data protection laws. 

Price, Payment & Refunds

We are required to inform patients of the costs of treatments before consultations. We will ensure that our prices for appointments, consultations and treatments are clearly set out on our Site. All prices quoted are inclusive of VAT (where applicable). Treatment will be paid for from the credit or debit card provided at the time of booking using the payment processor Stripe. Please review the booking carefully and ensure all the details are correct.

It is possible that, despite our best efforts, some of the Services listed on the Site may be incorrectly priced. We are under no obligation to provide Services to you at the incorrect price if the pricing error is obvious.

From time to time, due to circumstances beyond our control, appointments made may be subject to change by us at short notice. Where possible, efforts will be made to provide a suitable alternative and we will contact you using the details you provided when you made the booking. We will not be liable for any costs incurred as a result of appointment cancellations.

An in-clinic consultation fee will be charged only if a vaccination/tablets or capsules are not administered/supplied. This is a non-refundable £20 fee and is per person.

Exemptions apply if:

  1. The nurse or doctor assesses that there is a risk to you being vaccinated, and therefore we cannot vaccinate due to the patient’s safety being compromised
  2. The vaccination/medication is not suitable for the patient due to other medical conditions
  3. Stock not available in clinic
  4. Corporate Clients
  5. Phlebotomy patients
  6. Blood Pressure check.

If you decide to cancel or amend your booking, you can do this by emailing or by calling us on +44 (0) 1306 873942. Please ensure you retain a record of your cancellation including where applicable, the name of the person you spoke to about the cancellation.

Cancellations with less than 48 hours from the appointment date will be charge in full.

If you amend your booking at any time, any price changes for additional services will be charged, but we will not make any additional charge for making the change.

Our Liability

We are under a legal duty to supply Services that are in conformity with the contract. We accept no liability for any loss which is not reasonably foreseeable or for any business loss (which includes loss of profits, contracts, goodwill, opportunity and other similar losses). We cannot and are not liable for any damages which results from a failure by you to provide complete, truthful and accurate information to the nurse or doctor during your consultation.

This does not include or limit in any way our liability for death or personal injury caused by our negligence, or our responsibility for fraudulent misrepresentation and any other liability that cannot, under English law, be excluded.

Nothing in this section or elsewhere in our Terms & Conditions affects your statutory legal rights.

Enquiries answered by our administrative team are for guidance purposes only. Medwyn Travel Clinic will not be held responsible for the accuracy of such information given outside of a consultation with a nurse or doctor.

Medwyn Travel Clinic does not maintain any responsibility for the content on external sites linked from its website.  The links are provided for your convenience and any such link does not imply endorsement by us of the site or of any association with the operators of the sites that we may link to.

Medwyn Travel Clinic cannot accept responsibility for non-receipt of emails or unobtainable telephone numbers.

Events outside our control

We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations that is caused by events outside our reasonable control.


If any of these Terms & Conditions are declared invalid, unlawful or unenforceable, then that provision shall be deemed to be deleted from these Terms & Conditions and the remaining provisions shall remain in full force and effect.

We reserve the right to change these Terms & Conditions at any time. The new version will be posted on this website and will take effect immediately upon posting. If you use the website after the new terms and conditions have come into effect, you will be indicating your agreement to be bound by the new terms and conditions.

Failure by us to enforce a right does not result in waiver of such right. You may not assign or transfer your rights under these Terms & Conditions.

You and we agree that English law applies to these Terms & Conditions and that any dispute between us arising out of or in connection with these Terms & Conditions will only be dealt with by the English courts, unless you are resident in another part of the United Kingdom, in which case the applicable law of that part of the United Kingdom will apply and any dispute will be brought before the courts there. We are required by law to inform you that purchases can be concluded in English only and that no public filing requirements apply.



  1. From time to time we may ask you for your views on our services.
  2. We will use this feedback, and the personal information that you provide, in line with these terms and conditions and the terms of our Privacy Policy.
  3. Feedback will be used as an input into the continuous improvement of our end-to-end services.
  4. If you are under the age of 16 you must have permission from a parent or guardian to provide feedback.
  5. By contributing your views, you will be giving us permission to put them on the website and to adapt, modify or include them elsewhere (for example, when training our staff or monitoring performance). You agree that we do not need to acknowledge you as the author but, by contributing, you give us permission to do so.
  6. Your feedback must not contain anything that is unlawful, offensive, abusive, threatening, defamatory, obscene or discriminatory, or negatively affect anyone’s rights.


Should you want to make a formal complaint about any part of the Service for which Medwyn Travel Clinic is directly responsible, please do so by contacting our management team.  You may do so by telephone, e-mail or letter and marking your complaint confidential addressed to Nanette Nobes, Medwyn Travel Clinic, Medwyn Centre, Reigate Road, Dorking, RH4 1SD, or email, or telephone +44 (0) 1306 873942. We undertake to normally acknowledge your complaint within two working days.  However, should your complaint require more detailed investigation we will advise you to that effect.  Please note it may not be possible to investigate all aspects of your complaint more than 28 days after the incident to which you refer because some of the relevant information may no longer be available.
